Job Description:
We’re looking for an Administrative Manager for a product IT company that creates AI and neural network-based tools to help professional photographers work more efficiently. The product has been recognized by customers in over 50 countries around the world.
Company products: A desktop application for Windows and macOS for photographers (B2C)
Team size: small and agile, mostly remote
Main market – Tier1, Tier 2
Location: Remote (with occasional offline tasks in Kyiv ~1–2 times/month)

Responsibilities:
- Maintain and organize documents including HR documents (contracts, certificates, invoices).
- Interact with accounting departments (Ukrainian contractors for Ukrainian and British companies) to ensure that they have the necessary information for reports and audits, controlling that they submit everything on time.
- Oversee and process payments (salaries, vendors, partners).
- Source and manage external finance/legal vendors as needed.
- Handle onboarding/offboarding (accounts, access, internal guidance).
- Draft job descriptions, screen applicants, conduct intro interviews.
- Foster team connection (birthdays, async culture initiatives).
- Arrange expert consultations during hiring research or role planning.
- Prepare company/project information for applications and registrations.
- Communicate with financial system support teams when needed.
- Handle ad hoc tasks (notarizations, stamps, director signatures).
Job Requirements:
- 2+ years of experience as an Administrative Manager or Corporate Business Assistat, or similar roles.
- Experience with operations, finance admin, HR coordination.
- Experience in international or hybrid businesses (e.g., companies with UA+UK presence).
- Experience in maintaining internal communication rituals (e.g., birthday messages, async check-ins), supporting distributed team cohesion.
- Excellent communication skills, including the ability to coordinate with multiple stakeholders (CEO, vendors, accountants, contractors).
- Comfortable working in Ukrainian (legal/finance docs, written communication).
- English - B1+
- Proficient in Google Workspace (Docs, Sheets, Drive), messengers (Slack/Telegram), and basic financial tools/spreadsheets.
